Position: Paralegal, Preferred location:  Headquarters in Berkeley

We are looking for a paralegal to join Pivot Bio's legal department to provide administrative support in the fields of intellectual property, contract administration, and operational management to the in-house legal team.

Responsibilities:

  • Assist with preparation and execution of legal documents required for patent filings
  • Review and maintain a docket of company patent, trade secret, and trademark related intellectual property matters including Office Actions, other patent office communications, and related patent documents received from the U.S. Patent and Trademark Office, foreign patent offices, and outside counsel.
  • Provide administrative support to the department, such as managing annuity deadlines, and associated data collection and reporting activities
  • Identify and effectively communicate priorities and urgencies to applicable internal and external stakeholders.
  • Track and drive contracts to resolution, including identifying remaining contracting issues and identifying appropriate stakeholders to reach resolution
  • Review and/or draft standard amendments, confidentiality agreements, consulting agreements with attorney assistance, as needed
  • Obtain signatures on powers of attorney, declarations, and various documents for outside counsel to file with US and foreign Patent Offices.
  • Draft, execute and notarize patent assignments
  • Maintaining filing systems; both electronic and physical filing systems
  • Provide support as a liaison between internal R&D and attorneys
  • Assist with ongoing meetings requiring legal department representation, and, as needed, serve as the legal department’s representative in those meetings
  • Assist with various projects, as needed

Qualifications and Experience

  •  BA/BS degree and/or paralegal certificate from  an ABA-approved program and a minimum of 2 years’ experience in a legal department or law firm focused on intellectual property matters; or an equivalent combination of education and experience (combined in house and law firm experience preferred)
  • Extensive knowledge of U.S. and international patent filing procedures and understanding of industry practices and patent filing requirements.
  • Technical skills, including proficiency with Microsoft Word, Excel, Powerpoint, and experience with patent docketing databases.
  • Strong interpersonal skills and ability to work cooperatively with internal and external legal (including patent) professionals, scientific and administrative staff, and senior management.
  • High level of self-motivation and demonstrated capacity for independent judgment, planning, evaluation, and decision-making.
  • Strong ability to efficiently manage multiple projects and competing priorities, including effective organization skills and attention to detail.
  • Experience with DocuSign is helpful.
  • Experience with biological patent applications and related issues (e.g., sequence listings and material deposits) strongly preferred
  • Ideal candidate would either already be a notary or be willing to take notary training to become one
  • Extensive knowledge of U.S. and international patent filing procedures and understanding of industry practices and patent filing requirements
